Otter.ai and BonusVoice: which workflow fits?

Otter.ai offers live notes during meetings. BonusVoice processes recordings and audio files after the conversation into an editable transcript, a summary and action items. Start by deciding whether your team needs a transcript during the meeting or for follow-up work. Otter describes its features on its product page.

Storage locations and contracts

Otter documents AWS storage in the US with AES-256 encryption. Its Terms of Service include a DPA in Appendix 1; section 18.2 incorporates it for processing within the scope of the GDPR.

BonusVoice stores audio, transcripts and summaries with Hetzner in Germany. Its DPA and subprocessor list describe AI processing by Mistral AI in the EU. Stripe payment processing and optional Google sign-in are separate data flows that may involve third countries. See the privacy policy for details.

US storage does not automatically mean GDPR non-compliance, and EU storage alone does not guarantee lawful use. Additional conditions apply to transfers outside the EEA, as explained by the European Commission. With either service, assess permission to record, purpose, access rights and retention.

Otter publishes per-user plans. Compare the same member count, minutes, billing period and required features. Different pricing models do not establish a general price advantage for either service.

When to consider each service

Consider Otter if you need live meeting notes and its meeting and team features fit your workflow. Check the limits of your chosen plan and its documented data flows.

Consider BonusVoice if you want to edit client conversations, interviews or voice memos after recording and value the documented EU processing of conversation content. Windows recording requires Pro or higher; on a Mac, use the browser. The follow-up workflow described here does not replace live transcription.

Test existing recordings

BonusVoice accepts audio uploads in MP3, M4A, WAV, FLAC, OGG and WebM up to 1 GB. For a video, first obtain an audio file. This upload process does not import another service's transcripts, folders, comments or CRM links.

Test a recording you are permitted to process using the free allowance of 30 minutes per month. Check speaker assignments, specialist terms and summaries against the audio. Use the results from your own conversations to make the decision.
